Remote Octopus recommends doing a 2 minute overview of your calendar every Monday morning.
This seems too obvious to be an actual supercharge… but trust us.
Why is this important?
Our calendars are a mess. Meetings are expensive.
When you do your quick scan, you are checking for:
Double-booked calls
Calls that are scheduled when you are OOO – such as at a dentist appointment
Consider: Is my presence necessary on this call?
Last minute requests to change call times often lead to delayed work – and it’s completely preventable. These late rescheduling requests can be tough with messy calendars too especially if a larger group is needed for the call.
Reaching out in advance is key. If you wait, then realize right before you go to that dentist appointment that a crucial call is scheduled while your teeth are being cleaned, then it can put your entire team at a disadvantage.
If you consider yourself not necessary for the call to take place:
Reach out to the call owner with a quick note on Monday letting them know you’ll miss call ABC on Wednesday. Double-check if there is anything they need from you in advance. Encourage them to reach out if any action items come up for you.

Hi there! I am unable to make Wednesday’s ABC call. Let me know if I can help with anything in advance. Reach out if any follow up items come up for me. I’ll review our agenda + rolling notes to catch up.
If you do consider yourself necessary for the call to take place:
